Booking Procedure 
 
By booking with us and paying a deposit you are agreeing to our terms and conditions. Bookings can be made by telephone or email. A non-refundable booking deposit of £200 per week is payable at the time of booking to secure your dates and this will be deducted from the balance due. A hire pack for your booking will then be sent to you, together with a form for completion and return to us along with Driving Licence photocopies for all intended drivers (maximum of 2) of the vehicle.  
 
Payment for the remaining balance of the hire charge will be due no less than six weeks before the date of hire. An invoice will be sent to you in your confirmation pack to help with planning payments. If the balance is not paid by the due date, Go South West Motorhome Hire reserves the right to cancel the booking and the booking deposit will be forfeited. As a small, family-run business, we are only able to absorb the cost of debit card payments and not the 3% surcharge imposed on us by the Bank for credt card payments - therefore we are no longer able to accept credit card payments and apologise if this causes any inconvenience to our customers.  
 
Drivers/Driving Licences/Endorsement Checks/ID Documents  
 
Drivers must be aged between 25 and 75 (inclusive) and have held a Full UK, EU, NZ, AUS, SA, CAN or USA Driving Licence for at least two years. Licence(s) must be valid, with a maximum of two 3-point convictions and the original licence(s) for the intentended driver(s) must be produced at the time of collection of the vehicle, along with 2 x proof of identity and address in the form of a utility bill, credit or bank statement no more than 3 months old. Please note that mobile phone bills are not an acceptable form of ID for insurance purposes.  
 
Additional drivers are allowed for £35 per week per additional driver up to 2 weeks and then free of charge up to a maximum of 10 weeks. All intended driver(s) will need to sign an insurance declaration, in person, on day of collection to validate the insurance. 
 
All drivers will need to provide a Driving Licence check code from the DVLA no later than 48 hours before collection to enable the neccessary insurance licence check to be carried out by Go South West, It is the Hirer's responsibility to ensure that licence(s) are valid, the correct procedure has been followed and the relevant documents provided, otherwise Go South West will be unable to release the vehicle and the full hire charge will be forfeited by the Hirer. 
 
Drivers are liable for any traffic or parking offence committed during the hire period and the law requires us to divulge Hirer/driver details to the Police/relevant Authorities upon request. 
 
Collection and Return 
 
Vehicles will be available for collection from 3:00pm unless otherwise agreed and vehicles must be returned by 10:30am on the last day of hire. Occasionally the vehicle may be available earlier but this would not be known until the vehicle has returned from its previous hire. 
 
Minimum Hire Period 
 
One week minimum. 
 
Cancellation/No-Shows 
 
The following charges will apply if a reservation is cancelled by the hirer, for whatever reason: 
 
Cancellation 6 weeks or more before the start of hire: Loss of booking deposit. 
Between 6 and 4 weeks before start of hire: Loss of booking deposit + 50% of remaining hire charge. 
Cancellation less than 4 weeks before start of hire: 100% of hire charge 
No-shows: no refund except on similar basis to Late Arrivals (see below). Full insurance cover by the Hirer is advised to safeguard against this possibility. 
 
If Gosouthwest are forced to cancel due to UK Government lockdown restrictions and Gosouthwest is unable to fulfill your hire dates, alternative dates would be offered, or a full refund.  
 
A booking with Gosouthwest is for hire of a motorhome for the dates booked. It is not associated with, or will not be affected by, changes or restrictions to a customer's intended destination or event.  
 
Late Arrivals 
 
If a Hirer fails to arrive during opening hours on the first day of hire, Go South West Motorhome Hire reserves the right to re-hire the allocated vehicle and admits no liability in respect of inconvenience to the Hirer or cancellation charges for other pre-booked expenditure by the Hirer. Go South West Motorhome Hire will not reimburse days missed before arrival, nor allow extra free days to be added on to the hire period. 
 
Late Returns 
 
Failure to return on time will incur a penalty charge of £50 per hour or part thereof. Failure to return the vehicle by 5pm on the last day of hire means the vehicle is not insured and therefore drivers are liable to criminal prosecution. 
 
Availability 
 
If, due to circumstances beyond our control, the vehicle booked is not available, we reserve the right to offer a suitable alternative or provide a full refund of monies paid to us. Go South West Motorhome Hire accepts no liability for any consequential losses or costs incurred by the Hirer, eg ferry tickets, etc. Customers are advised to take out their own travel insurance policy to cover such losses/costs. 
 
Cancellation by Go South West Motorhome Hire 
 
Go South West Motorhome Hire may cancel the hire if, at the time of collection, the nominated drivers' licences or proof of address requested are invalid or not in accordance with the Terms and Conditions (see above). Provisional driving licences are not acceptable. In these circumstances, all monies paid by the Hirer (except the refundable security deposit) will be forfeited to Go South West Motorhome Hire. It is the Hirer's responsibility to ensure that all agreed drivers are licenced to drive the vehicle in line with our Terms and Conditions. 
 
Security Deposit 
 
A Security Deposit (refundable) of £950, payable by debit card only, is due 10 days before collection and must be cleared by date of departure. Security Deposits are refunded in full provided that the vehicle is returned to us clean (inside), undamaged and on time. Hirers should not clean the outside of the vehicle as specialised cleaning is required. Toilet cassettes not fully or properly emptied, or toilets that have been allowed to overflow, will be charged at £100 for emptying and cleaning. Replacement costs for any items missing or damaged will be deducted from your Security Deposit. Refunding of the Security Deposit is paid after cleaning and full inspection of the returned vehicle and within a maximum 21 days of the return of the vehicle.  
 
Fuel (Diesel) 
 
Fuel is at the Hirer’s expense and not included in the hire charge. Our fuel policy is "full tank out, full tank back" and it is the Hirer’s responsibility to put the correct fuel in the motorhome, which is DIESEL. The Hirer will be liable for all repair and replacement costs incurred as a result of using the wrong fuel and Go South West Motorhome Hire will offer no refund or pay compensation for loss of use by the Hirer whilst the vehicle is off the road as a result. Any refilling required upon return of the vehicle will be deducted from the Security Deposit and will incur an addition £10 filling fee. The nearest fuel stations to the return point are Trago Mills (just off the A38 Southbound at Newton Abbot) or Ashburton/Pear Tree Cross (just off the A38 if Northbound). 
 
Oil and Water 
 
Go South West Motorhome Hire will ensure that oil levels have been checked and are at the optimum level before releasing the vehicle for hire. Regular checking of the oil and water levels whilst out on hire are the responsibility of the Hirer, who will be liable for any accident, breakdown or damage caused by a failure to maintain the correct levels. 
 
Tyres and Windscreen 
 
Regular checking of the tyre pressures and windscreen is the responsibility of the Hirer. The Hirer is responsible for any damage to the windscreen and windows, plus punctures or other damage to tyres during the hire period. Where possible repairs/replacements should be carried out as appropriate and paid for by the Hirer at the time. Go South West Motorhome Hire should be advised before any repairs are carried out and failure to do this could result in a deduction from your deposit if further repairs are required. 
 
Insurance 
 
Comprehensive insurance for travel within the UK is included in the hire charge. European insurance can be agreed in advance of departure date as part of our European Travel Pack (see Additional Options below for full details). Hirers are advised to arrange their own personal effects and travel insurance. The vehicle is only insured for the hire period and therefore the driving of the vehicle after the expiry of the contract period may result in the driver committing a serious traffic offence. Furthermore the Hirer is personally responsible for any accidental damage, injury and consequential loss after the expiry of the hire period. There is a £950 excess and any damage costs within this amount will be deducted from the security deposit. Any damage costs over this amount will result in the entire Security Deposit being forfeited. Our insurance is subject to the following conditions: 
 
The insured vehicle shall not be let out on hire/driven by: 
(a) any persons who have been convicted of an offence in connection with the driving of a motor vehicle or motorcycle and/or have had their driving licence endorsed or suspended or penalty points imposed. Parking offences and not more than 2 three-point speeding offences in the past 4 years may be ignored. Spent convictions covered by the Rehabilitation of Offenders Act 1974 may be disregarded; 
(b) any persons who have any mental or physical disability or infirmity or suffer from fits, diabetes or any heart complaint, and as a result are not permitted to drive by the DVLA; 
(c) any persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance or cover cancelled by any motor insurer; 
(d) any persons engaged wholly or partly in professional entertainment or professional sports; 
(e) jockeys and persons connected with racing of any sort; 
(f) persons who, whilst driving, have been involved in more than one accident during the past 3 years; 
(g) Foreign Armed Service Personnel, other than persons born in the United Kingdom. 
 
Breakdowns/Accidents 
 
In the unlikely event of a breakdown or accident, recovery services are at the disposal of the Hirer. Instructions for replacements, at a cost not exceeding £50, may be given by the Hirer, and will be considered for reimbursements where appropriate by Go South West Motorhome Hire on the production of receipted invoices. Go South West Motorhome Hire's approval must be obtained in respect of repairs/replacements in excess of £50. Go South West Motorhome Hire is not responsible for hotel or any other consequential expenses subsequent to a breakdown, but will refund the hire charges for any complete days’ loss of use of the vehicle. Every effort is made to ensure that the vehicle is in a safe and roadworthy condition before it leaves our company premises, but Go South West Motorhome Hire shall be under no liability for third party claims or damages in connection with, or subsequent upon, any accident or breakdown. In the event of an accident involving the vehicle, the Hirer must inform Go South West Motorhome Hire as soon as possible and within 24 hours. The Hirer must complete an Accident Report Form when requested by Go South West Motorhome Hire. 
 
Equipment 
 
All our motorhomes are fully-equipped with cooking utensils, crockery and cutlery, gas bottles and toilet chemicals. Hirers must bring their own bedding and towels. A full inventory will be provided with your Booking Confirmation so you know what to expect. We hope that we have thought of everything you need for a great holiday but are always keen to hear of anything we may have missed! 
 
Parking 
 
You may leave your car in our secure compound while you are away free of charge; however, vehicles are left entirely at your own risk and we accept no responsibility for any loss or damage which may arise.  
 
Smoking 
 
We do not allow smoking in the motorhome at any time please. The Hirer will be liable for the full cost of cleaning or repairing damage to the motorhome caused by smoking, including resulting loss of hire days. 
 
Pets 
 
We love well-behaved small dogs so they are always welcome in some of our motorhomes. Sadly though, any damage or additional valeting required would be deducted from the Security Deposit. Dogs must not be left unattended in the motorhome at any time. 
 
Optional Extras (available on request via Booking Form) 
 
Additional drivers can be authorised for £35 per week of hire up to £70 and are then free of charge for subsequent weeks up to 10 weeks. 
 
European Travel Pack: £125 per week for the first 2 wks, £90 per week thereafter. European Travel Pack includes European insurance premium, on-hire vehicle documentation, European hook-up lead, headlamp adjusters, reflective safety vests, warning triangle, first aid kit, tool kit, breakdown assistance contact numbers and alcohol breathalyser (legal requirements for European travel). 
 
Bedding/towels/bike hire: In the current pandemic we are not offering these as optional extras and so customers need to bring their own bedding and towels. A bike rack (holds up to 4 bikes) is included free of charge with the motorhome hire should customers wish to bring their own bikes.  
 
Mileage 
 
A generous mileager allowance of 1000 miles per week pro rata is included in your hire price. Thereafter, mileage will be charged at 40p per mile. If you expect to receive this allowance, agreement can be reached in advance, so please do let us know if this is the case.

Data protection/Privacy Policy 
 
Your privacy is important to us and we are committed to taking reasonable technical and organisational precautions to safeguard the personal information you share with us, in line with the Data Protection Act 2018. The information we collect from you on the Booking Form is used solely for the purposes of enabling us to effectively fulfil your booking. We collect only the information we need and only share your information as required for insurance purposes or at the request of official authorities by law. We do not share your information with any third parties for marketing purposes. We only retain your personal information for as long as we are required to do so for insurance purposes and whilst we are in possession of your personal information it is stored securely. As soon as we are no longer required by law to keep your personal information, it is disposed of confidentially to avoid any future misuse. 
 
Our website financial transactions are handled through our payment services provider, Worldpay. You can review the Worldpay Privacy Policy at www.worldpay.com We will share information with Worldpay only to the extent necessary for the purposes of processing payments you make via our website. 
 
Our website contains links to other websites and we are not responsible for the privace policies or practices of any third party websites. 
 
 
Go South West Motorhome Hire reserves the right to vary rates and conditions of hire and to refuse to hire to any person without giving a reason.
